Features

Everything an estate needs to know who’s there.

Safestate is the security and compliance layer for residential estates. Here is all of it, from the badge at the gate to the record a trustee can defend.

Security & access

A verified badge for everyone on the estate.

Contractors, domestic workers, guests, estate staff and residents each carry a badge with a photo, a QR code and a short access code. Anyone with a role on the estate can check it.

  • Identity badges

Issued per person with a photo and an expiry, on the holder’s phone or printed. Residents get theirs automatically.

  • Two-way verification

Scan the QR or type the code to see the verdict, the face and the sponsor. Workers can check residents too.

  • Call or report from the scan

One tap to call the team lead or the estate office, or to report a concern linked to that badge.

  • Printable badges

Credit-card and A6 lanyard sizes, with a whole team’s badges in one PDF. Reprints keep the same code.

  • Incident reporting

Category, severity, photos and an optional location. Admins are pushed at once; urgent reports are emailed too.

  • Add-on

    Guest visits

Guests tap “I’m at the gate”, request a temporary code the host approves, and show a visit QR.

Communication

Reach every home, or exactly the right ones.

Notices land as a push and in an inbox that keeps them, so nothing depends on a phone being on. Residents choose what they follow; urgent notices reach everyone regardless.

  • Broadcasts and urgent notices

To the whole estate, chosen areas or homes, and optionally contractors. Urgent ones can’t be muted.

  • Inbox and push

Every message is kept in the inbox, with a push as a copy. Residents mute what they don’t need.

  • Channels

Estate news and security updates by default, plus social channels your admins create. Posts can carry photos.

  • Day-before reminders

For bookings, events and guest visits, sent at the hour your estate chooses.

Hub & services

The estate’s information and the businesses it trusts.

The Hub holds what residents keep asking the office for, and a directory of contractors rated by residents who actually used them.

  • Estate information

Rules, insurance, building guidelines, emergency contacts, paint colours and documents, with pages for contractors too.

  • Trusted contractor directory

Reviews only from finished jobs. Ratings and order are never for sale, and sponsored listings are labelled.

  • Call-back requests

Ask a business to get in touch, sharing only the contact details you choose, never your address.

  • Add-on

    Venue bookings and events

Residents book the estate’s venues and admins approve, with clashes refused. Invite homes, RSVP and get reminded.

Operations

Contractors, maintenance and follow-through in one place.

The estate decides who works there; contractor companies do their own admin. Every concern and every job has an owner, a status and a record.

  • Delegated worker onboarding

The estate appoints one team lead per crew, who captures workers in the app. Badges can’t outlast the contract.

  • A console across estates

One login for contractors working at several estates, switching between them in a tap.

  • Action items

Concerns and maintenance requests from residents in one numbered queue, with due dates and updates for the raiser.

  • Job cards

Send work to a contractor team, who accept with dates and submit with photos. The estate inspects and closes it.

  • Track record

Each contractor’s record is built from verified work only: jobs residents logged and job cards the estate closed.

  • Web console and mobile app

Admins work from the console; residents, team leads and workers use the app. Each sees only what their role allows.

Property

Homes for sale and to rent, from agencies the estate approved.

Only agencies with the estate’s approval can list there, through agents with a valid Fidelity Fund certificate. Listings stay inside the estate.

Property is an add-on.

  • Approved agencies only

The estate approves each agency. A listing can’t be submitted while its agent’s certificate has lapsed.

  • The homeowner confirms

A listing that names a home waits for its owner. The house number is hidden unless the owner chooses to show it.

  • Alerts that match

Residents save a search by type, bedrooms and price, and hear only about listings that fit.

  • Viewings by request

Interested residents send a request to the agent with the contact details they choose. There’s no open address.

Privacy

Built so the estate can defend every record.

The estate is the responsible party under POPIA and Safestate is the operator. The product collects only what verification needs and records who saw it.

  • Encrypted ID numbers

Encrypted at rest, masked for residents, and never written to logs or error reports.

  • No directory of people

Identity is reachable only by scanning a badge or entering its code. The Hub lists businesses, never people.

  • Attributed audit trail

Every change and every full record viewed is logged with who and when. The scan log exports to CSV.

  • Retention and deletion

Photos of revoked and expired badges are purged on schedule. Admins can export or delete one person’s data.

  • Consent on record

Captured when a person is added, with who captured it, when, and in which language: English, Afrikaans or isiZulu.

  • Offers only with consent

Promotional messages are off by default and reach only residents who opt in. Estate notices are never marketing.

Safer, together.
